This Privacy Policy applies to all Contracts made by the Head of the Estate of José Gomes da Costa and its Clients, and applies to all reservations, accommodation agreements, room rentals for events, and the use of all services at Casa da Avó Genoveva.
What are personal information?
The Head of the Estate of José Gomes da Costa approaches the safeguarding of its Clients’ privacy with great respect and seriousness. The collection of Clients’ personal information aims to meet their needs and facilitate reservation requests. Personal information is considered to be any information collected about the Client as an individual, such as their name, address, age, gender, image, email, phone number, credit card information, preferences, and specific requests before, during, and after the stay, including the exchange of digital correspondence. This data will be collected only with the Client’s prior consent and processed in compliance with European Union legislation on the General Data Protection Regulation.
Why they are collected
To provide quality service to the Client – Personal information is collected so that the Hotel can make the desired reservations and provide the requested services. Its maintenance allows the Hotel to improve the service provided to the Client each time they repeat their stay. By keeping certain personal information related to the stay on file, such as information regarding the Client’s history and detailed lists of expenses, both the Client and the Hotel have the opportunity to confirm previous transactions and compare statements or invoices.
And also to keep the Client informed – The personal information provided may be used to send newsletters with the latest news and to inform the Client about promotions, offers, or other matters that may interest them. To do this, personal information may be shared with third parties, including customer relationship management companies and/or marketing or communication companies. These companies are contractually bound to Cabeça de Casal da Herança de José Gomes da Costa/Casa da Avó Genoveva, and are therefore obligated to protect all Client information to which they may have access. If the Client wishes not to receive information about the Hotel, they can express their intention on the registration form during their stay or inform the Hotel via email at: reservas@avogenoveva.com.
How they are collected.
On the Hotel’s website – When a Client visits the Hotel’s website, they are assigned a “cookie” (see Cookie Policy), and a unique ID number is assigned to their computer. Although the Client remains anonymous until they enter their personal information on the website (at the time of booking), the ID number allows Cabeça de Casal da Herança de José Gomes da Costa/Casa da Avó Genoveva to register the session, with the aim of assisting the Client by providing a more personalized service. It is also used to find information that may be of particular interest to the Client.
While browsing the website, the Client also provides information, such as the types of topics they visit most frequently, which does not reveal their personal identity. If the Client “Submits a Question” about a specific topic, such as a request for information about horseback riding, they will be asked for some personal data, such as name, email address, and phone number. This data will only be used for the specified purpose. By submitting their personal data, the Client acknowledges and accepts the terms and conditions set forth in this Privacy Policy.
If the Client wishes to be included on a subscription list or to receive other information, they can send their email address to Cabeça de Casal da Herança de José Gomes da Costa/Casa da Avó Genoveva for this purpose. The Client may also subscribe to the newsletter from the Hotel’s website. These lists are used only for internal purposes – Cabeça de Casal da Herança de José Gomes da Costa/Casa da Avó Genoveva does not sell or rent these lists to any other entity – and the decision to be included or not is entirely up to the Client.
When making a reservation.
At the time of making a reservation on the Hotel’s website, the Client will be asked to fill out a reservation profile, which will include personal information such as the Client’s name, address, contact information, details about children (for example, name, date of birth, age), as well as certain guarantee and deposit information to secure the reservation, such as the number of their credit card. By submitting their personal data, the Client acknowledges and accepts the terms and conditions set forth in this Privacy Policy. Due to the personal nature of this information, the reservation system is secure, protecting the Client’s credit card number with SSL (Secure Socket Layer) encryption technology, transmitting it over a private network. The Client may also request a reservation by directly contacting Cabeça de Casal da Herança de José Gomes da Costa/Casa da Avó Genoveva, at which point they may be asked for personal information such as name, address, contact details, payment method, and preferences regarding rooms or special requests.
During the stay.
During the stay, Cabeça de Casal da Herança de José Gomes da Costa/Casa da Avó Genoveva maintains a detailed list of the Client’s expenses to accurately determine their bill, which includes the room rate and other charges incurred. This information is also recorded so that Cabeça de Casal da Herança de José Gomes da Costa/Casa da Avó Genoveva can meet financial information requirements, including those demanded by auditors and regulatory entities.
Certain information may also be collected as required by local legislation (for example, passport number) or specific details about the stay may be retained (for example, the Client’s health issues, special requests, service problems). This information is stored in the property management system at the Hotel and is associated with information from previous visits. Additionally, any documents (including letters, comment cards, electronic documents such as emails, or other similar forms of communication) that the Client may have sent before, during, or after the stay may be retained. This information may be shared with the staff of Cabeça de Casal da Herança de José Gomes da Costa/Casa da Avó Genoveva.
In preparation for the stay, the Client’s photograph may be collected from publicly available sources so that the Hotel can recognize them, solely for the purpose of providing superior quality service to the Client.
How we store them
Cabeça de Casal da Herança de José Gomes da Costa/Casa da Avó Genoveva stores personal information in a secure location, whether it is in a database or a file. In addition, measures are taken to ensure that only designated individuals have access to this information. To provide better and more personalized service to the Client, their profile is stored in the Hotel Management System, the central platform that manages reservations. Other information about transactions is also retained, including, for example, the number of stays and the number of nights for each stay.
What may be provided to third parties
Cabeça de Casal da Herança de José Gomes da Costa/Casa da Avó Genoveva reserves the right to transmit personal information of Clients to agents, subcontractors, or third-party service providers in the course of providing services to the Hotel, in order to better meet the Client’s needs. To this end, it uses contractual agreements or other means to ensure that these parties protect the personal information in question in accordance with the principles established in this Privacy Policy.
The Client’s personal information will only be shared without their consent, outside of Cabeça de Casal da Herança de José Gomes da Costa/Casa da Avó Genoveva, in the following situations: a) when required or authorized by law (for example, in response to a civil subpoena); b) when necessary to proceed with the provision of services requested by the Client, in which case their consent will be considered implicit (for example, vehicle rental); c) if the payment for the stay has been made by third parties (billing information will be provided to the third-party payer).
If Cabeça de Casal da Herança de José Gomes da Costa/Casa da Avó Genoveva suspects any illegal activity, it reserves the right to investigate and/or report its findings or suspicions to law enforcement authorities or another relevant law enforcement service.
Retention period
As informações pessoais serão guardadas pelo período mínimo de tempo exigido por lei na jurisdição onde se encontra Cabeça de Casal da Herança de José Gomes da Costa/Casa da Avó Genoveva (5 anos). As mesmas poderão ser guardadas indefinidamente por Cabeça de Casal da Herança de José Gomes da Costa/Casa da Avó Genoveva enquanto existir um objetivo comercial para tal. Periodicamente, e após alguns anos em que o Cliente não fique hospedado em Casa da Avó Genoveva poderão ser eliminadas.
Access, modify, and delete
The Client may access, correct, add, update, or delete their personal data by contacting Cabeça de Casal da Herança de José Gomes da Costa/Casa da Avó Genoveva via email at: reservas@avogenoveva.com. Cabeça de Casal da Herança de José Gomes da Costa/Casa da Avó Genoveva may request a copy of a valid identification document to protect the Client’s privacy and confirm their identity before making any changes.
